# Tag and export conversations

> Mark conversations with your own tags so you can find them again, download a single chat as a text file, or export everything you have.

Mark conversations with your own tags so you can find them again, download a single chat as a text file, or export everything you have.

Tags are short labels you add to conversations yourself — for a topic, a follow-up, a wrong answer to fix. Export gives you a copy of a conversation to keep or to share outside Konvuno.

## Tag a conversation

![The header of a conversation, with a tag and the button to add another](https://konvuno.com/help/shots/en/conversations/transcript-header.webp)

The header of a conversation, with a tag and the button to add another

1. Open the conversation on the Conversations screen.
2. Click Add tag next to the labels at the top.
3. Type the tag and press **Enter**, or click anywhere else. The tag is saved straight away — there is no save button.

To remove a tag, click the × next to it. It is removed at once.

Good to know:

- Tags are shared: everyone on your team sees the tags you add.
- The same tag cannot be added twice, but capital letters count — `Refund` and `refund` would be two different tags. Pick one way of writing them and stick to it.
- The search box above the list finds tags, so searching `refund` shows every conversation tagged `refund`. See [Filter and search](https://konvuno.com/help/conversations/filters-and-search#search).
- Conversation tags and lead tags are separate. Tagging a conversation does not tag the lead that came from it — see [Work with a lead](https://konvuno.com/help/leads/working-a-lead#tags).

Tip

A `wrong-answer` tag is worth having from day one. Tag every conversation where the assistant got something wrong, [fix the FAQ](https://konvuno.com/help/knowledge/faqs#edit) under Knowledge, then remove the tag — search for it to see what is left to fix.

## Export a conversation

Click Export at the top right of an open conversation. Your browser downloads a plain text file named after the conversation's reference, such as `conversation-a793a2f9.txt`, with one line per message — the date and time, who wrote it, and what they wrote:

```text
[9/23/26, 5:37 AM] Visitor: Can I rent an e-bike for Saturday?
[9/23/26, 5:38 AM] Assistant: Yes! E-bikes are €35 per day with helmet and lock included. …
```

Dates are written the way your dashboard language writes them. The file contains the messages only — not the labels or the tags. It opens in any text editor and can be attached to an email, so it is the easiest way to share a conversation with someone who has no Konvuno account. Anyone on your team can export a conversation.

Conversations are deleted automatically after 90 days (see [How long conversations are kept](https://konvuno.com/help/conversations#retention)), so export any you want to keep for longer.

## Export everything

The **owner** can download all the business's data in one file: every conversation with its messages, every lead and your settings.

1. Open Settings and choose Data & retention.
2. Under Export business data, click Export.

The file is in JSON format — meant for backups or for moving your data to another system, not for reading. For a spreadsheet of your leads, use Export CSV on the Leads screen instead — see [Export leads to a spreadsheet](https://konvuno.com/help/leads/bulk-and-export#export).

How other businesses use it

- **A property manager** tags every conversation about repairs `maintenance` and searches the tag once a week to pass the list to the caretaker.
- **A pharmacy** exports conversations about side effects and files them with its own records.
- **A marketing agency** exports a client's best conversations to show them in the monthly report.
- **An online course creator** tags questions about a new course `launch` and reads them all together before the next session.
